Reservation Requests

Reservation Processes

Event space reservation requirements and procedures vary by user group. 

  1. Log in to the SFSU Events Portal using your SFSU credentials. Once logged in, click on Event Form to check space availability, view event resources, and submit your reservation request.
  2. The reservation request will be routed to the designated campus event coordinator to verify availability, suitability, and any applicable requirements.
  3. Requests involving equipment, catering, or other support services will be routed to the appropriate areas for coordination and approval.
  4. Once all approvals are complete, the event will be confirmed in the system, and the requestor will receive a confirmation email with event details.

Approved RSOs and their student officers should coordinate with Student Activities & Events (SAE) to plan and host events on campus. 

  1. Click the link below to submit a reservation request.  
  2. SAE will review the request to ensure it aligns with the Recognized Student Organization Manual.
  3. If another department manages the requested space, the request will be routed to the event coordinator for availability and suitability confirmation.
  4. If the event requires equipment, catering, or other support services, SAE will coordinate with relevant campus areas for logistics and approval.
  5. Once all approvals are complete, the event will be confirmed in the system, and the RSO will receive a confirmation email with event details.

  2. The reservation request will be routed to the designated campus event coordinator to verify space availability, suitability, and compliance with University policies, insurance requirements, and external use guidelines.
  3. Depending on the event, the event coordinator may request documentation such as:    
    1. Proof of liability insurance
    2. Staffing plans
    3. Vendor or service provider details
  4. If the event requires services such as audiovisual (AV) or catering, the event coordinator will coordinate with the appropriate campus areas for approval and logistics. 
  5. The event coordinator will provide a cost estimate for space rental, staffing, and services. A signed agreement and/or deposit may be required in advance of the event. 
  6. Once all approvals, documentation, and payments are complete, the event coordinator will confirm the event and send a confirmation email to the requestor.

Tips for a Smooth Approval

  • Start Early | Begin planning and submitting your request early to allow time for review and approvals, especially for large or complex events.
  • Be Detailed | Clearly describe your event and include all set-up and service needs.
  • Prepare Documentation | Have all required documents ready to upload if requested.
  • Be Responsive | Respond promptly to the event coordinator's requests for documentation or clarification.
An “event received” email does not mean your event is confirmed. This message is sent to confirm that the reservation request has been received and is under review.
